Here’s Exactly How We Plan Your Family’s Trip (And Why It’s Free)
Here’s Exactly How We Plan Your Family’s Trip — And Why It’s Free
If you’ve never worked with a travel planner before, you probably have questions. What does this actually look like? What do I have to do? Is the “free” thing real? We’re going to answer all of it — no vague promises, no fine print, just an honest explanation of exactly how we work.
The short version: you have one conversation with us, we take it from there, and you show up to your vacation with a plan that fits your family like it was made for them. Because it was.
Here’s the longer version.

First — Let’s Get the “Is It Really Free?” Question Out of the Way
Yes. Our planning service is genuinely, actually, completely free to you.
Here’s how it works: Disney, Universal, cruise lines, and resorts pay travel agencies a commission when we book on your behalf. That commission comes out of their marketing and distribution budget — not yours. You pay the exact same price whether you book through us or go directly to Disney’s website right now and do it yourself.
The difference is what you get. Booking directly, you get a confirmation number. Booking through us, you get a dedicated planner who knows your family, handles every detail, monitors for price drops and promotions, and is available by text on the day your four-year-old decides she doesn’t want to get on the ride she’s been talking about for six months.
Same price. Very different experience.

Our 5-Step Planning Process
Every trip we plan — whether it’s a grandmother taking two grandchildren to Disney for the first time or a 30-person family reunion cruise — follows the same five-step process. The scale changes. The care doesn’t.
| 01 | The Discovery CallFree · 30 minutes · Zero obligation |
This is just a conversation. We want to learn about your family — who’s going, how old everyone is, what each person loves, what each person absolutely cannot handle, and what your dream version of this trip looks like. We ask about budget (generally, not precisely — you don’t need a spreadsheet ready), about timing, and about any accessibility or dietary considerations we need to know from the start.
There’s no sales pitch on this call. There’s no package menu to choose from, no pressure to book anything. It’s a 30-minute conversation between you and Nicole, and you’ll walk away from it with at least three ideas you hadn’t considered before — whether you work with us or not.
| Nicole’s note: Most families come to this call thinking they know where they want to go. About half of them end up somewhere we suggested that they’d never considered. Not because we talked them into it — because the right questions revealed that the trip they were imagining wasn’t quite the right fit for the family they’re bringing. That’s the whole point of this call. |
| 02 | We Build Your Family ProfileYou don’t lift a finger — this is on us |
After our call, we put together what we call a Family Profile — a detailed working document that maps out every person on this trip. Their ages and physical considerations. Their interests and non-negotiables. Their ideal daily rhythm (early riser or late starter? long days or built-in rest time?). Their dietary needs. Their version of a great vacation day versus a terrible one.
This document is the foundation everything else is built on. It’s also how we catch the things families forget to mention until they’re already at the airport — because we ask about them first. Grandma’s bad hip. The seven-year-old who gets overwhelmed in crowds. The teenager who will check out completely if she doesn’t have some autonomy built into the itinerary.
| Nicole’s note: This step takes us time and effort. It costs you nothing but the 30-minute call we already had. |
| 03 | Our RecommendationA real answer — not a list of options to overwhelm you with |
Based on your Family Profile, we come back to you with a recommendation. Not a menu. Not “here are seven resorts, which do you prefer?” A recommendation: here’s where we think your family should go, here’s when, here’s where we’d stay, and here’s why. We explain our reasoning, and then we listen to yours.
If something doesn’t fit — the dates, the budget, a preference we missed — we adjust. But we start with a specific recommendation because that’s what actually helps. Giving a family more choices when they’re already overwhelmed by choices is not good service. It’s just more of the problem they came to us to solve.
| Nicole’s note: Families sometimes push back on this step. They want to see all the options. We understand that impulse completely — and we’re happy to walk through alternatives. But in our experience, the families who trust the recommendation and let us explain it usually end up saying it was exactly right. |
| 04 | We Build and Book EverythingEvery detail, handled — including the ones you didn’t know to think about |
Once you’re happy with the plan, we handle every booking. Resort or cruise, park tickets, dining reservations (we’re logged in at 6:00 AM when the good ones open), Lightning Lane strategy, ground transportation, special experiences, accessibility arrangements — everything. You don’t have to touch a single website.
We also build your day-by-day itinerary. Not a generic one pulled from a blog post — your itinerary, built around your family’s specific rhythms, your group’s accessibility considerations, and the moments that matter most to you. Every split-and-reconvene timing, every rest day, every dining reservation, every “don’t miss this, and here’s exactly where to stand” detail that only comes from doing this hundreds of times.
| Nicole’s note: This is the step where working with a planner makes the most tangible difference. The dining reservations that disappeared within seven minutes of opening. The resort room location request that saves your grandmother’s knees. The park order that avoids the worst crowds on the days you’ll be there. The backup plan for when it rains on day three. None of this happens by accident, and none of it shows up in a Google search. |
| 05 | We’re With You the Whole TripAvailable by text or call from departure day to the flight home |
You’ll have our number. Not a call center number — our number. If a dining reservation needs to move because your toddler had a meltdown and you missed it, you text us and we handle it. If you’re standing in the park at 2pm and you’re not sure which way to go next, you can ask. If something goes wrong with a hotel room or a booking or an experience, you don’t spend your vacation on hold with a 1-800 number — we do that.
We also do something most families don’t expect: we monitor for pricing changes and promotions throughout your planning window. If Disney releases a new dining promotion after you’ve booked, we apply it. If a room category you wanted opens up closer to your travel date, we move you. You don’t have to keep checking — we keep checking for you.
| Nicole’s note: The goal is that you step off the plane at your destination and the only thing on your to-do list is being present for your family. Everything else is already handled. |

| “I kept waiting for the catch. There wasn’t one. Nicole handled everything — I mean everything — and we showed up to Disney with a plan so good that even my husband, who was skeptical about the whole thing, said it was the best trip we’ve ever taken. My mother-in-law cried at the fireworks. That’s the whole story.”— Jennifer M., Disney World trip for 11 people including two grandparents |
Questions We Get All the Time
Do I have to know where I want to go before I call?
Not at all — and honestly, some of the best trips we’ve planned started with “we have no idea, we just know we want to do something big.” The discovery call is exactly the right place to figure out the destination together. We’ll ask you questions that clarify what your family actually needs, and usually a clear direction emerges pretty quickly.
What if I’ve already started planning on my own?
Tell us where you are and we’ll take it from there. We’ve stepped into half-planned trips many times — sometimes we keep what’s already booked, sometimes we suggest changes, sometimes we build around it. Whatever you’ve already done isn’t wasted. It’s a starting point.
How far in advance do I need to reach out?
For most trips, we recommend reaching out 8 to 14 months before your target travel dates. For multigenerational trips, large groups, and holiday travel periods, earlier is better — the best resort rooms, cruise cabins, and dining reservations fill up with real lead time. That said, we’ve planned great last-minute trips too. Whatever your situation, reach out and we’ll tell you honestly what’s still possible.
What destinations do you specialize in?
Disney World, Universal Orlando, Disney Cruise Line, Royal Caribbean, and combination Orlando trips are our primary focus. We also plan multigenerational and group travel to these destinations specifically — if you’re coordinating a large family trip or a grandparent-grandchild adventure, that’s our sweet spot.
What if something goes wrong on the trip?
You call us. Or text us. We’re available throughout your trip for exactly this reason. We’ve handled everything from rescheduled dining reservations to weather delays to resort room situations that needed to be resolved at 11pm. You don’t spend your vacation managing problems. That’s what we’re here for.
Is there any commitment involved in the discovery call?
None whatsoever. The discovery call is free, has no obligation attached, and we will never pressure you to book. If we’re a good fit, you’ll know it by the end of the call. If you’re not ready or it’s not the right time, we’ll leave you with a few useful ideas and an open invitation to reach back out when you are. That’s it.
Ready to Get Started?
The call is free. The planning is free. The only thing that costs you anything is the trip itself — and we’ll make sure every dollar of it is exactly where it should be.
Book your discovery call below, or reach us directly at 1-800-513-2530. We’re looking forward to hearing about your family.
